A Certificate of Analysis is the single document that stands between a spec-compliant shipment and an expensive surprise at the receiving dock. Yet most buyers skim it for one number and sign. Here is how an operator actually reads one — line by line — and the signals that tell you to slow down before a purchase order goes out.
A COA (sometimes written C-of-A) is a supplier's lab report on a specific lot of material. It certifies that the batch you are being offered was tested and met defined limits. The keyword is specific lot: a COA is only meaningful if the lot number on the paper matches the lot number on the drums that show up. Everything below assumes you have confirmed that match first.
Start with identity, not purity
Before you look at a single result, confirm the document is describing the material you think it is. The header should unambiguously state the product name, the CAS number, the grade, and the lot or batch number. If the CAS number is missing or a grade is listed as "commercial" with no reference standard, you are reading a marketing sheet, not a certificate.

The lot number on the COA must appear on the physical container labels and the packing list. Three different numbers across three documents is the most common — and most avoidable — receiving dispute.
The core parameters, and what each one is telling you
Different chemistries carry different tests, but a well-formed COA almost always reports the following categories. Read them as a set, not in isolation — a high assay with high moisture can still be off-spec for your process.
Assay is a floor, not a promise
Assay tells you how much of the active substance is present. A COA reading "99.2%" against a "99% min" spec is a pass — but note the margin. Lots that consistently land a hair above the minimum are a hint about how tightly the plant runs. If you are formulating to a tight tolerance, ask for the last several lots' assays and look at the spread, not just the latest figure.
Moisture is where money quietly leaks
For hygroscopic and fermentation-derived products, moisture is both a quality parameter and a you-paid-for-water parameter. A product sold at 99% assay "as-is" behaves very differently from one specified on a dry basis. Confirm whether results are reported as-is or dry-basis, and whether your price reflects it.
Heavy metals and residuals decide regulated uses
If the material touches food, pharma, personal care, or potable water, the heavy-metals panel and any residual-solvent line are not optional reading. Confirm the limits reference a recognized standard — USP, FCC, EP, or the relevant national pharmacopeia — rather than an in-house spec no one can audit.
Read the methods, not just the numbers
A credible COA cites the test method next to each result — a titration procedure, an ICP-MS reference, a Karl Fischer method for moisture. Methods matter because two labs measuring "purity" by different techniques can disagree by more than your tolerance allows. When a certificate lists results with no methods at all, you cannot reconcile a dispute later, because there is no shared definition of how the number was produced.
Named methods
USP/FCC/ISO or a specific instrument reference next to each result.
Test date & lab
Who tested it, when, and whether the lab is the manufacturer or a third party.
Authorized sign-off
A named QA release with a signature or controlled document number.
Revision control
A document/revision number so you can prove which version you approved.
The red flags that should stop a purchase order
None of these are automatically disqualifying, but each one means ask a question before you commit:
- Mismatched lot numbers across the COA, labels, and packing list.
- No test methods listed — results with no way to reproduce or contest them.
- "Typical values" language instead of tested results for the actual lot.
- A test date far older than the lot, suggesting a recycled or template certificate.
- Round-number perfection on every line — real analytical results carry decimals and spread.
- No authorized signatory or QA release reference anywhere on the page.
- Grade claims with no standard — "pharma grade" with no pharmacopeia cited.
Before you sign: three requests that cost nothing
A serious supplier answers all three without friction. Hesitation on any of them is itself information.
Ask for the SDS alongside the COA. The two should agree on identity and hazard classification. Ask for a retain-sample policy — reputable manufacturers keep a retained sample of each lot for exactly the disputes a COA is meant to prevent. And ask for the previous two or three lots' certificates so you can see consistency rather than a single flattering snapshot.
